Information we collect
We collect the details you choose to provide through the landlord property-assessment form, the agent referral form, email, telephone or WhatsApp. This may include your name, contact details, relationship to a property, property postcode and property information. We do not ask for bank details through the website.
Why we use it
We use enquiry information to review property fit, respond to you, take steps you request before a possible agreement, keep a record of the enquiry, prevent misuse and manage our legitimate business interests. Optional landlord marketing is used only where you separately opt in, and you can withdraw that choice at any time.
How the website handles submissions
The website is hosted through ChatGPT Sites and uses Cloudflare infrastructure for secure site and database processing. Property and referral records are stored privately in the site database. A random submission identifier helps prevent duplicate enquiries when a request is retried. A temporary receipt cookie lets you see confirmation of a received submission. We also use a short-lived derived network identifier to limit repeated requests. Where configured, Resend is used to send lead notifications and acknowledgement emails. A private delivery queue keeps pending messages available for retry; message content is removed from that queue after confirmed sending. We do not currently use a separate CRM or public booking/calendar service on this website.
Analytics and advertising
Optional Google Analytics can be enabled only after you accept analytics in the cookie controls. Where it is not configured, the controls explain that analytics is disabled. Analytics helps us understand page visits and steps in the enquiry journey, including broad property type and bedroom categories. We do not send names, email addresses, telephone numbers, full property postcodes, property listing links or free-text form answers to analytics. Only recognised page paths and broad source categories are used; URL query strings are excluded from our events. You can reject analytics and still submit a property, or change your choice using “Cookie settings” in the footer. We do not use advertising tags.
Who may receive information
Information may be processed by suppliers that help us host the website, store submissions, protect the service and deliver emails. We disclose information to professional advisers, authorities or other parties only where needed for the enquiry, an agreement, legal obligations or the protection of rights.
International processing
Some technology suppliers may process information outside the United Kingdom. Where this happens, we require an applicable lawful transfer mechanism or other safeguards required by UK data-protection law.
How long we keep it
We keep enquiry information only for as long as reasonably needed to review and respond, manage a potential or existing business relationship, meet legal obligations and resolve disputes. A fixed public retention schedule has not yet been adopted. You may ask us about, correct or request deletion of your record using the contact details above.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to our use of your information, and to receive certain information in a portable format. You may also complain to the UK Information Commissioner’s Office. We will verify requests where appropriate.
Marketing choices
Consent to be contacted about a specific property assessment is separate from consent to receive occasional marketing. The marketing option is unchecked by default. You can opt out at any time by emailing us.
